Deck Estimator / Sales Representative

Job Summary

Top Notch is looking for a deck estimator to join our team. This position requires a self-motivated individual who wants to help build a good, efficient deck division and grow with the company. The job does entail working outside, requires lifting 60 lbs., climbing ladders/heights, driving 1.5 hours one way to job sites, dedication to completing the work, and following through for both our clients and our employees. Duties

Generate Sales through Estimation

  • Following up on leads and communicating with potential clients to generate new sales

    • Analyzing required documents, blueprints and project plans to gain a thorough project scope

    • Measuring on location to create a bid proposal

    • Determining what production factors will influence the cost of a service or product

    • Preparing material and labor cost estimates

    • Purchasing materials

    • Developing and maintaining relationships with company vendors and contractors

    • Managing bids from vendors and contractors

    • Presenting prepared estimates to clients

    • Supporting crew lead with a thorough overview of each new bid

    • Compiling and delivering job records to office (receipts, change orders, checks, etc)

    • Purchasing vehicle passes, scheduling sanitation/waste removal on active jobs

    • Consistent on-site checks for ongoing jobs to ensure job is completed to bid specifications

    • Using bid versus actual cost data to prepare detailed job analysis

    • Controlling costs and supporting crew lead to keep bid jobs at or under quoted hours

    • Invoicing and billing of client as needed

Strategic Planning & Business Development

  • Monitoring company performance and implementing changes and plans

    • Maintaining accountability and professionalism

    • Business development planning and enforcing

    • Identify and address problems and opportunities for the company.

    • Build alliances and partnerships with other organizations.

Management Team Development

  • Fostering a positive work culture

    • Interacting with other members of MGT

    • Help and support other members of MGT

    • Overseeing active jobs (helping COO/PM)

    • Maintain an understanding of team’s current projects and workload

    • Develop basic understanding of ESOP among staff

Data Analysis & Office Processes

  • Analyzing data from divisions to improve output

    • Calculating job conversion rates, sales analysis

    • Maintain action item and log division metrics updates for weekly assessment

    • Answer phone calls, emails, and voicemail daily

    • Discuss operations with all management regularly to stay updated on large scale activities

    • Deliver paperwork for finance division

    • Planning and budgeting for projects

    • Assisting management team with improving processes as necessary

  • Monitoring operational costs to maintain or increase profit margins
  • Improving operational procedures to promote efficiency
  • Maintaining and analyzing all operational data
  • Ensuring adherence to company procedures and policies
  • Developing and implementing company policies
  • Developing policy & procedures that improve efficiency without compromising safety or quality

Employee Management- Support personnel and perform HR functions to meet company labor requirements and promote employee development

Client Interfacing- Interact with clients to ensure their satisfaction

  • Maintain consistent communication with clients regarding job status

    • Fostering relationships between clients, suppliers and vendors

    • Reinforce site conditions so clients understand we value their space

Potential Production Management- Occasionally operations may need support producing work for vacation time, in a busy season, or in times of emergency. The estimator should be sufficiently competent to step in and take over production management after a thorough hand-off meeting.

  • Support laborers on-site with training and/or guidance during complex job tasks
  • Supporting crew lead with a thorough overview of each new bid
  • Compiling and delivering job records to office (receipts, change orders, checks, etc)
  • Consistent on-site checks for ongoing jobs to ensure job is completed to bid specifications
  • Track hours, materials, & status of ongoing work; compare them to the estimate regularly

Physical Requirements

  • Sit at desk to work a minimum 8-hour day
  • Work outside on-site in varying weather conditions for ~4 hours/day.
  • Drive for long periods at a time
  • Operate a computer efficiently & use telephone for communication
  • Lift 25 lbs. regularly, 60 lbs. occasionally
  • Bend over and reach up to measure areas with little open access

General Qualifications

  • 3+ years experience in similar roles and Associate’s Degree in Business Management or a comparable combination of education and experience. (Required)

  • 3+ years experience in log & timber construction & with building codes (Required)

  • Proficient in basic computer skills, Microsoft Excel, Word and Outlook. (Required)

  • Can read complex blueprints & build from them (Preferred)

  • Strong math skills (Required)

  • Basic knowledge of ESOP management (Preferred)

  • Clean driving record (Required)

  • Reliable vehicle (Required)

  • Professional grammar & writing skills (Required)

  • Bilingual (English required, Spanish preferred)

  • Work onsite or in yard (required)

Compensation: $40-50/hr

Schedule: 8-10 hours, M-F
